Terms and conditions for organisers

Last updated: 25 August 2026

Looking for the terms as a player or as a professional? See the Terms for players and the Terms for professionals.

1. Purpose and acceptance

These Terms govern your activity as an organiser on VEMAX Sport (hereinafter, "the Platform"), operated by the entity identified in the Legal notice. They add to the general Terms you accepted when creating your user account, and take precedence over them for everything related to publishing and managing events. By requesting organiser status, you accept them in full.

2. What VEMAX Sport is for you

VEMAX Sport gives you a technology showcase to publish your camps, clinics and tournaments, manage registrations and collect payment through an external payment provider (Stripe). VEMAX Sport does not organise, co-organise, supervise or run your event: you remain the one providing it, on your own behalf, with no employment, agency or corporate relationship with VEMAX Sport.

3. Your responsibility as the event organiser

As the organiser, you are solely responsible for:

  • The content, description, price, capacity and conditions of the event you publish — they must be truthful and kept up to date.
  • Holding the licences, permits, civil liability insurance and any authorisation required under the sports, health and child-protection regulations applicable to your event.
  • The actual organisation, execution and running of the event: facilities, coaching and support staff, safety measures, and the supervision and care of participants, including minors.
  • Any incident, injury, damage or loss occurring before, during or as a result of the event.
  • Setting and complying with your own cancellation and refund policy, shown to the player before they register.

VEMAX Sport carries out reasonable checks when approving your organiser sign-up, but does not verify or guarantee that you hold the licences, permits or insurance your activity requires — that is your responsibility before publishing any event.

4. Your relationship with players

The player contracts their participation in your event directly with you. VEMAX Sport is not a party to that contractual relationship: it acts solely as a technology intermediary in publishing the event and collecting payment.

5. Commission and payouts

Payment for registrations is processed through Stripe. VEMAX Sport retains a commission on each paid registration, shown when you create the event, for the intermediation service; the rest of the amount is transferred to your connected Stripe account under Stripe's usual payout schedule.

You are responsible for your own tax obligations on the income you receive through the Platform (invoicing, VAT/income tax or any others that apply to you).

6. Cancellations and refunds

Your cancellation and refund policy is shown to the player before they pay and binds you both. If you cancel the event, 100% of the amount paid by each player is automatically refunded, including VEMAX Sport's commission.

7. Your registrants' data

You may only use the data of people registered for your event (including, where applicable, health data the player chooses to provide) to manage that specific event — never for your own unconsented marketing, to build databases, or to pass it on to third parties. You are responsible for complying with the data protection regulations applicable to your own processing of that data. See the Privacy Policy for details of what VEMAX Sport does with it.

8. Registered minors

The Platform only allows a minor to be registered with the express consent of their mother, father or legal guardian, given on the registration form itself. You may not accept into your event a minor whose registration does not show that recorded consent, and you are responsible for complying with any other child-protection regulations applicable to your activity.

9. Content you publish

The content of your event (description, images, logo) remains your property. By publishing it, you grant VEMAX Sport a non-exclusive licence to display it on the Platform to promote your event. You are responsible for holding the necessary rights over everything you upload.

10. Professionals directory

If you contact or hire a professional through the professionals directory, that relationship is directly between you and the professional. VEMAX Sport is not a party to it, does not take part in its financial or employment terms, and is not liable for its performance.

11. Misuse and account termination

VEMAX Sport may unpublish an event, or suspend or terminate your organiser account, without prior notice, where there are reasonable grounds to believe you are publishing false or fraudulent events, repeatedly or seriously breaching these Terms, or where applicable regulations require it.

12. Intellectual property

The VEMAX Sport brand, and the Platform's design and code, belong to VEMAX Sport.

13. Changes

VEMAX Sport may update these Terms. Significant changes will be notified by email or via a notice on the Platform before they take effect.

14. Governing law and jurisdiction

These Terms are governed by Spanish law. For any dispute, both parties submit to the Spanish courts with territorial jurisdiction under the Spanish Civil Procedure Act (LEC).
